What we are looking for 

Aleto Inc. is seeking to hire a CAFM specialist to provide strategic guidance to federal government stakeholders to ensure the program's success and organizational vision by managing the space program using an IWMS, specifically the FM: Systems Employee and FM: Systems Workplace modules. 

This work will require interfacing directly with project managers and federal clients to track the use of federally owned and leased office spaces (including HQ facilities as well as regional offices). This work will require the tracking of building space utilization, vacancy rates, space usage by program areas, and the development of reports to support decision-making. In addition, the CAFM specialist will be maintaining up-to-date drawings, providing occupancy management, move management, and supporting the space reservation system. Operationally, the CAFM specialist will receive direction and work in support of the CAFM/IWMS administrator.  For administrative purposes, the CAFM specialist will report to the senior program manager.

Interview Process

CAFM Specialist Essential Job Duties  

Duties include the following.  Other duties may be assigned.

  • Track building space utilization, vacancy rates, and space usage by program areas.
  • Maintain up-to-date drawings, provide occupancy management, and move management.
  • Provide management of accountable and real property using FM: Systems Workplace.
  • Import Human Resources data from personnel systems to acquire assigned government personnel.
  • Import occupancy data from badging operations and security to determine usage.
  • Validate space assignment information (to include contracted personnel) with various government offices.
  • Support decision making concerning space modifications via accurate reports.
  • Be proactive in responding to client needs and data calls, prioritizing work based on client expectations and changing requirements
  • Work with project managers and other staff to ensure changes are reflected in drawings.
  • Provide move management data, and receive move data to update records.
  • Provide reports on a recurring basis to update leadership on space and facility usage. Updated floor plans should be reported periodically, and as needed (bi-weekly/monthly/quarterly/semi-annual/annual).
  • Develop a periodic reporting and data visualization process and tool to assist the client in understanding the federal agency portfolio state. Lead the development and upkeep of executive dashboards aimed at data visualization and analysis for the client on space-related issues.
  • Work with federal stakeholders to optimize processes related to leased and owned properties; manage work derived from rapid facilities transition related to pandemic consolidations and the Return To Workplace initiative; and seek technological solutions to facilities problems as appropriate.
  • Own the "on-time, on-spec, on-budget, and high-quality" delivery of products to federal customers.
  • Assist the agency in determining building and maintenance priorities, identifying those of significant scope, and putting in place quality control measures to ensure the successful execution of projects.
  • Create standard operating procedures, training documents, and other relevant documentation for the position. Periodically inform internal team members of upcoming upgrades, updates, and their implications on process and deliverables, and brief the client’s staff as needed.
  • Create accurate data and ensure the data is in a shared location.
  • Assist the client and stakeholders with refining the FM: System and report data inaccuracies and report inaccuracies to the appropriate stakeholders
  • Support all tasks related to space surveys and data collection (bi-weekly, monthly, quarterly, semi-annual/annually)
  • Fulfill assigned tasks regarding day-to-day space assignments and space updates.

Qualifications/Capabilities/Software Knowledge

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

Education/Experience:

  • A Bachelor's degree in a relevant field, such as Architecture or Design Technology, with a minimum of 5 years of experience
  • U.S. Citizenship (requires a Public Trust credential) 

Technological Skills: 

  • AutoCAD
  • Microsoft Office Suite of applications, along with familiarity with Power BI
  • Understanding of databases and data management
  • Excellent time management, technical, and organizational skills

Required Knowledge and Skills:

  • FM: Systems experience in space and HR modules

Environment and Physical Conditions 

While performing the duties of this job, the employee is required to have ambulatory skills sufficient to visit other locations; and the ability to remain in a stationary position at least 50% of the time, move inside and around an office, position themself to access items located in high or low areas, and transport items weighing up to 20 pounds across the office. Requires the constant operation of a computer and other office productivity machinery and the ability to observe details at a close range, typically within a few feet of the observer.  The employee interacts frequently with other workers, vendors, and clients and will communicate information and ideas so others will understand, and must be able to exchange accurate information in these situations. The position consistently requires work to be completed in an office environment with artificial light and air.
